Privacy Policy

This policy describes how HardrockData LLC (“HardrockData,” “we,” “us”) handles personal information when you use Trainer Hub. Trainer Hub means the website at trainerhub.net, the Trainer Hub web app, trainer sites and apps we host, and the related services (together, the “Service”).

The short version

  • Trainer Hub is software for personal trainers and their clients.
  • We are responsible for trainer accounts and Trainer Hub subscriptions.
  • A client’s coaching information belongs to that client’s trainer. The trainer decides what to collect and why. We store and process it so the trainer can deliver coaching.
  • We do not sell personal information, and we do not use it for advertising.
  • Stripe processes card payments. We do not store full card numbers.
  • You can delete your account in the Service, or email us and ask us to delete it.

1. Who we are

HardrockData LLC operates Trainer Hub. For privacy requests, email HardrockData@proton.me.

2. Trainers and clients

Trainers. If you create a trainer account or pay for a Trainer Hub plan, we decide how your account and subscription information is handled, as described in this policy. For that information, HardrockData is the controller.

Clients, leads, and visitors on a trainer’s site. If you train with someone who uses Trainer Hub, fill out their form, book a session, or buy a package, your trainer decides what information to collect and how to use it for coaching. We process that information on the trainer’s instructions to run the Service. For that information, the trainer is the controller and HardrockData is the processor. Questions about coaching, schedules, cancellations, or what a form asked should go to your trainer. Questions about how the software stores data can come to us.

3. Information we collect

Account and profile. Name, email address, and password. Passwords are handled by our authentication provider. We do not keep a readable copy of your password. We also store your role (trainer or client) and profile or branding details you add, such as a business name, logo, colors, and custom domain.

Coaching and business content. Workouts, exercises, programs, images, videos, client lists, notes, packages, prices, bookings, session credits, and form submissions entered in the Service. Forms a trainer publishes can ask for contact details and health-related information, such as goals, injuries, or limitations. Workout logs can include exercises, sets, reps, and weights. A trainer may enter a client’s name, email, phone, and other details before that person creates an account.

Trainer Hub subscriptions. Plan, subscription status, and Stripe customer identifiers. Stripe collects the card details for the subscription. We do not store the full card number. Stripe’s privacy policy is at stripe.com/privacy.

Client payments to a trainer. When a client pays a trainer for a package or session, the charge runs on that trainer’s own Stripe account. Stripe collects the card details. We receive the payment status and Stripe’s identifiers for the transaction. We do not store the full card number. Trainer Hub does not take a fee on those charges. Refunds of those charges are handled on the trainer’s Stripe account.

Google Calendar. If a trainer connects Google Calendar, Google gives us access to that calendar so we can create, update, and remove booking events. We store the tokens needed to keep the connection active until the trainer disconnects it.

Fit AI. When you use Fit AI, we send your prompt and the account information that feature needs — for example a client profile or existing workouts — to OpenRouter and to the model provider configured for that request (for example, Google). We use it only to return the draft or answer you asked for. OpenRouter and the model provider handle that content under their own policies. We do not control whether a model provider uses those inputs to train its models. OpenRouter’s privacy policy is at openrouter.ai/privacy.

Technical data. Our hosting and database providers record information needed to run and secure the Service, such as IP address, browser type, and timestamps. The Service stores settings such as theme on your device. We set a short-lived cookie while a trainer connects Stripe. We do not use advertising cookies.

We collect information from you, from your trainer, and from Stripe or Google when those services are connected. Other parties do not collect personal information about your activity on Trainer Hub over time for their own advertising. We do not respond to browser Do Not Track signals. The Service does not track you across other companies’ websites.

4. How we use information

We use personal information to:

  • create and secure accounts
  • deliver workouts, bookings, packages, trainer websites, and branded apps
  • bill Trainer Hub subscriptions and record client payments to trainers
  • sync a calendar a trainer connected
  • run Fit AI when someone uses it
  • send service messages about the account or a subscription
  • detect abuse, fix problems, and keep the Service reliable
  • meet legal, tax, and accounting duties

We do not use personal information for third-party advertising.

Workout and health information is used to run coaching tools. The Service does not provide medical advice, diagnosis, or treatment.

5. Who we share it with

We share personal information with providers that process it to run the Service:

  • Google Firebase (Authentication, Firestore, Storage, and Cloud Functions) stores accounts, app content, and files. Cloud Functions run in the United States (us-central1).
  • Stripe processes Trainer Hub subscriptions and client charges on a trainer’s connected account.
  • Google receives calendar data when a trainer connects Google Calendar, and may receive Fit AI prompts when a Google model is selected.
  • OpenRouter routes Fit AI requests to the configured model.
  • Vercel hosts the website.

We also share information in these cases:

  • when a law, court, or government request requires it
  • to investigate fraud, abuse, or a security incident, or to protect the rights and safety of users
  • if the business is sold, merged, or reorganized, in which case the buyer handles the information under this policy unless a new one is posted

Trainers can see the client information in their account. Clients can see the workouts, bookings, and packages their trainer shares with them.

6. How long we keep it

We keep information while an account is open and for as long as we need it to provide the Service, resolve disputes, and meet tax and accounting rules.

Deleting a trainer account removes that login and the clients, workouts, bookings, landing pages, and business data stored under it, cancels an active Trainer Hub subscription, and deletes linked client logins. Deleting a client account removes that login and the personal workout data linked to it. Some payment records may remain where tax or accounting rules require it, or where Stripe keeps them under Stripe’s own policy.

7. Your choices

  • Update your profile in the Service.
  • Delete your account from Profile on the website, or from the app. Deletion is permanent and cannot be undone.
  • Disconnect Google Calendar in the Service, or revoke Trainer Hub’s access in your Google account.
  • Skip Fit AI. It runs only when you use it.
  • Email HardrockData@proton.me to ask for access, a correction, or deletion. We may ask you to confirm that the account is yours. If you are a client, we may also send the request to your trainer when your trainer controls that information.

California. California residents can use the same email to request access to or deletion of personal information. We do not sell personal information, and we do not share it for cross-context behavioral advertising. We will not deny the Service because you made a privacy request.

EEA, UK, and Switzerland. Where those laws apply, we rely on the contract with you to provide the Service, on consent when you connect Google Calendar or use Fit AI, and on legitimate interests in keeping the Service secure and reliable. You can withdraw that consent by disconnecting the calendar, not using Fit AI, or emailing us. Withdrawal does not affect processing that already happened. You can ask us to access, correct, delete, restrict, or export your information, or to object to certain processing. You can also complain to your local data protection authority. Information may be stored in the United States. When a transfer needs a safeguard, we use the tools our providers offer, including standard contractual clauses. We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects.

8. Security

Accounts and payments are protected through Firebase and Stripe, including encryption in transit. No method of storage or transmission is completely secure.

9. Children

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13, and trainers must not use the Service to collect it. If you believe a child under 13 has given us personal information, email us and we will delete it.

10. Changes

We will post updates on this page and change the date at the top. If a change materially affects how we handle personal information, we will also give notice in the Service or by email when we have an address on file.
